Under the guidance and supervision of the HR and GS Manager, Receptionist ensure good image of the Partnership Executive Office. | Summary of key functions | : | |

To receive and welcome all visitors to the office in a prompt, professional, and courteous manner.

Phone screening and pacing out going phone calls as necessary.

Run day to day office administration (filling, tracking incoming and outgoing mail, etc).

Support GS Assistant to ensure office premises are managed and maintained and conduct daily checking on office cleaning service.

Support GS Assistant to maintain Office equipment, supplies and utilities (stationary, electricity, phone, etc).

Assist GS Assistant to monitoring Office Helpers and Security movement.

Assist HR Assistant to maintain attendance records.
-
Assist HR Assistant to maintain Calendar of Events.
-
Maintain announcement board and meeting room booking.
-
Maintain, updating and share Kemitraan contact list.
-
To receive message from staff who do not come to the office, record and convey information to HR Assistant and other relevant parties.

To serve as first contact point to answer general queries on Partnership activities and project tracking.

To perform support tasks to the Operations Division as required by his/her supervisor.

| Recruitment Qualifications | : | |
Education:
Minimum of D3 in Management/Secretariat/Administration or other relevant field
Experience:
At least 3 (three) years experience as a secretary/receptionist in service/hospitality industry/non government organization.
Language Requirements:
Fluency in written and spoken English and Bahasa Indonesia.
Others:

Advanced computer skills (MS Word, Excel, Powerpoint).

Trustworthiness, integrity, Good analytical thinking and attention to detail.

Ability to work under pressure and tight deadlines .

Ability to work in a team and a customer satisfaction oriented.

Demonstrated ability to promote and initiate work processes and complete given assignments with minimum supervision.
